Define the OEM request and ownership inputs
Describe the welding equipment configuration your project wants considered for an OEM quotation and identify the drawings or artwork your purchaser will provide. Ask the supplier to state which items it proposes to reproduce, alter or prepare for review. Keep purchaser supplied documents separate from design or artwork tasks requiring another agreement in the quotation discussion.
Identify the party responsible for approving the use of the supplied names, labels and artwork. Ask which document format and revision information are needed before the supplier can respond. Request written clarification where the proposal assumes different ownership or approval responsibilities, and keep unresolved artwork questions open before accepting a sample scope based on those materials.
Prepare the sample configuration schedule
List the equipment and accessories requested for the OEM sample, with their associated drawing and configuration references. Ask the supplier to identify the proposed sample package against that schedule. Distinguish items required in the sample from optional items you want quoted separately and from purchaser documents supplied only to explain the project requirement.
Request a written response identifying any proposed configuration difference from the original enquiry. Ask which equipment, input and rating documents accompany the sample proposal. Refer the returned equipment information to your responsible project specialists and obtain purchaser approval before changing the configuration used to prepare the sample acceptance description or the basis for the quotation comparison.
Keep a configuration change register
Assign a revision reference to the purchaser drawing, equipment schedule and artwork used for the sample enquiry. Ask the supplier to identify the references associated with its response. Record requested changes as separate decisions so your purchasing team can identify which sample configuration remains under review and which earlier attachments have been superseded.
Request a revised proposal when the supplier changes an equipment, accessory or artwork item relevant to the sample package. Ask for an explanation of the documents affected by that change and identify the project reviewer responsible for each approval. Keep the revised sample scope separate from the original request until the purchaser has reviewed the equipment and artwork differences.
Request a label and artwork proof
Provide the label content and artwork your project wants included in the OEM sample request. Ask for a proof identifying the equipment configuration and artwork revision to which it applies. Request separate identification of proposed label locations and ask which equipment images or drawings your reviewer needs to examine before approving the sample artwork.
Check the proposed proof against the purchaser supplied content and ask for written clarification of omissions or changed wording. Keep equipment identification and commercial artwork questions distinct so both receive the responsible review. Request a revised proof after any content or configuration change, and identify who on your project side may approve the version used for the requested sample.
Write the sample inspection checklist
Prepare the purchaser observations needed to review the requested equipment and artwork sample. Connect each observation to the relevant drawing, configuration schedule or approved proof. Ask the supplier to identify the sample equipment and accessory references in the proposed record so the project reviewer can connect the observations to the scope agreed during the quotation discussion.
Separate observations about equipment identity, accessory inclusion and artwork correspondence in the checklist. Ask for a written response to differences from the sample request and identify which corrected document or sample the purchaser wants reviewed. Keep unresolved observations distinct from approved items and request clarification before using a changed sample configuration as the reference for a subsequent order discussion.
Identify the approved purchasing reference
Ask the purchaser reviewers to identify the equipment schedule, artwork proof and sample record proposed as the reference for the next purchasing decision. Request a final supplier response carrying those references into the quotation attachment. Keep additional requested changes separate from the reviewed sample scope so the project can identify which configuration is being considered for approval.
Ask for written warranty terms and the equipment manuals associated with the proposed configuration. Request the sample, packaging and document inclusions to be identified explicitly in the quotation schedule. Confirm minimum order quantity and lead time before ordering, and ask for delivery terms covering the equipment and accessories named in the purchasing reference approved by your project team.
